The evidence has to travel with the machine

When lifting equipment leaves your business, LOLER requires it to be accompanied by physical evidence that its last thorough examination has been carried out (regulation 9(4)). PUWER has the same rule for the inspection of other work equipment (regulation 6(4)).

HSE’s guidance says those records don’t have to be kept on paper, but you should be able to provide a written copy when needed, for example when equipment goes out on hire.

Safe Cert doesn’t replace the paperwork or tags you already supply. It puts the full, current report on the machine itself, so it can’t be left at the depot or go out of date.

Getting your fleet set up

  1. We set up your company account, and your team adds each machine.
  2. Upload each machine’s current certificates with their expiry dates.
  3. Download and print each machine’s QR code, and fix it in the cab or by the data plate.
  4. From then on, upload renewals as they come in. The codes never change.

Common questions

Can a hirer see our other machines?
No. Each code opens the page for that one machine and its current certificates. Your fleet list, archived certificates and account stay private.
Do we need a new sticker after a re-examination?
No. The code points to the machine, not to a document, so the new report appears as soon as you upload it.
What goes on the machine?
A printed QR code. You can download each machine’s code as an image and print it on whatever durable labels suit your fleet.
Does this replace the paperwork we send with a machine?
It sits alongside it. Keep supplying whatever evidence of examination and inspection you already provide; Safe Cert makes sure the full, current report is always on the machine as well.
What if a machine is sold or scrapped?
Delete it from your account and its page is removed, along with its certificates.
